Editing an Email Template
From the View Email Template page, you can edit an email template. Editing is divided into two primary tasks:

Editing an Email Template Definition
An email template’s definition includes its email template ID, its email type, its variation name, and its send indicator. Only the variation name and the send indicator are editable on this page.
To edit an email template definition

On the View Email Template page, click Edit > Edit Definition. This link opens the Edit Email Template Definition page. |

Make email template definition changes as necessary: |

Variation Name—Change the name of the email template variation. |
|
•
|
Will Email Be Sent—Choose whether email messages based on this template is sent. |
|
•
|
Click Yes to enable email messages for this template to be sent. When the send indicator is Yes, the Producer Portal’s default behavior is to attempt to send the email. (Email can be suppressed on certain transactions or by the preferences of the recipients.) |

Click No to prevent email messages based on this template from being sent. |
|
•
|
View Email in Sent history—Choose whether the content of an email is visible from the View Sent Email page of the Producer Portal. |

Click Yes to enable the content to be viewed. |
|
•
|
Click No and only the “To,” “CC,” and “BCC” fields are visible. |
Note:The Welcome Email and Reset Password templates default to No and, because they contain sensitive password information, are not permitted to be viewed.
The Producer Portal saves your definition changes to the email template. (No changes occur to the email template’s status. Active templates remain active. Draft templates remain in Draft status.)
Editing Email Template Content
Email template content includes the template’s subject line, text content, and HTML content.
To edit email template content

On the View Email Template page, click Edit > Edit Draft Content or Edit > Edit Active Content. This link opens the Edit Email Template Content page. |

In Email Template Content, insert a subject line plus text content or HTML content (or both). |
Email template content can make use of merge tags to substitute specific values at the time the email message is generated. For examples of merge tag use, see About Email Templates.
Tip:To avoid errors, copy the merge tag from the Merge Tag List and paste it in the body or subject area. Merge tags must be opened and closed with double square brackets, like this: [[MERGE_TAG]].

Click Validate Template. The Producer Portal validates the merge tags in the template content and opens the preview page for the email template variation. |
Tip:When you click Validate Template, the Producer Portal only validates the merge tags in the template content. It does not validate your HTML.

Complete the email creation process by saving the email template or returning to the edit page for additional changes. |

Click Save to save the current template as the Active template for this email template type. |
|
•
|
Click Save Draft to save the current template as the Draft template for this email template type. |
|
•
|
Click Back to Edit to return to the edit page. |
When you save it as a Active template the Producer Portal uses it for all the email of that type from then on. If you save it as Draft, you can go back to this version at a later time and change it and save it as the Active template. If you want to make more changes click Back to Edit.
